- Physical Security & Access Data: includes CCTV visual recordings captured when you visit our premises, as well as electronic access logs (key card unlocks, denials, and timestamps) generated by our building access systems.
- Communication & Call Recording Data: includes caller ID (telephone numbers), call duration, timestamps, and audio recordings of telephone conversations when you call our official business contact numbers.
How Is Your Personal Data Collected?
We use different methods to collect data from and about you including through:
- Direct interactions: You may give us your Identity, Contact, and Financial Data by filling in forms on our website or by corresponding with us by post, phone, email, or otherwise. This includes personal data you provide when you make a booking, subscribe to our publications, or request marketing to be sent to you.
- Automated technologies: As you interact with our website, we will automatically collect Technical Data about your equipment, browsing actions, and patterns. We collect this data by using cookies and other similar technologies (subject to your prior consent where required by law).
- Integrated Building Systems: We collect movement, access, and network data automatically through our managed property infrastructure (including CCTV, electronic door access, and network systems) to ensure the safety, security, and proper functioning of the premises. Footage is recorded strictly in building's public/common areas and never inside the private apartments.
- Telephone Communications: When you contact us via our official business phone numbers, your call and its audio contents are recorded for quality assurance, security, and record-keeping purposes.
How We Use Your Personal Data?
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- To perform the contract: Where we need to fulfill the accommodation contract we are about to enter into or have entered into with you.
- Legal obligation: Where we need to comply with a legal obligation (e.g., reporting guest information to the Greek Tax Authorities - AADE).
- Legitimate interests: Where it is necessary for our legitimate interests (e.g., maintaining the security of our premises via CCTV and access control, managing network integrity, recovering debts).
Disclosures of Your Personal Data
We may have to share your personal data with certain trusted third parties strictly for the purposes set out in this policy. These include:
- Service providers acting as processors (e.g., our booking engine software, IT and system administration services, and website analytics providers such as Google).
- Professional advisers (e.g., lawyers, bankers, auditors, and our external accountants).
- Greek Tax Authorities (AADE) and other law enforcement or regulatory bodies, as legally required.
We require all third parties to respect the security of your personal data and to treat it strictly in accordance with the law.
Data Retention
We will only retain your personal data for as long as reasonably necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting, or reporting requirements.
- Guest registration details and financial records are kept for a standard period of five (5) years from the end of the respective tax year, in strict accordance with Greek Tax Law and AADE regulations. This retention period may be extended up to ten (10) years only under specific legal or audit circumstances mandated by the authorities.
- CCTV footage is retained for a limited period of 14 days before it is automatically overwritten, unless an incident (such as theft or damage) occurs, in which case the relevant footage will be extracted and kept until the matter is resolved.
- Electronic access logs and network activity metadata are securely retained for a period of one hundred eighty (180) days for security, maintenance, and dispute resolution purposes, after which they are automatically overwritten or deleted.
- Audio recordings of telephone calls are securely retained for a period of one hundred eighty (180) days for dispute resolution and quality purposes, after which they are automatically deleted.
Your Legal Rights
Under certain circumstances, you have rights under data protection laws in relation to your personal data. These include the right to:
- Request access to your personal data.
- Request correction of your personal data.
- Request erasure of your personal data.
- Object to processing of your personal data.
